Add a license, then use the expiration date on your current document. If you use an NPI match, review it before importing. Your saved record and its supporting document are separate steps.   1. Open More, then Setup. Open About you and check your name, degree and primary state.
  2. Open Your licenses. Review any NPI lookup match before importing it, or add the license yourself.
  3. Open Expiration dates and enter the date shown on your current license. A public registry match may not include that date.
  4. Open Credentials, then Licenses to check the saved record. Return to Setup when you are ready to add its document or another credential.

Good to know

  • A saved record is different from attached proof. Setup tracks both.
  • Setup can be resumed. A completed setup step does not verify that a license is active with its board.

You’re done when: The correct license and expiration date appear in your records.

Scan a license Demonstration records only. No real messages, payments or AI requests occur. Add on your phone and Documents on your desktop open Smart Scan. Upload the license and wait for its review card. Check the type, number, state and dates against the original; fix anything that is wrong before saving. If analysis fails, check Documents first. The file may already be saved, ready to file when AI access is available. Demo analysis result. Real Smart Scan uploads are sent to AI.
  1. On a phone, tap Add. On a desktop, open Documents. Both open Smart Scan.
  2. Choose Upload for a file or Camera for a photo. Use the credential itself and keep the text readable.
  3. In the review card, check the document type, License #, State, Issued and Expires against the original. Correct any mistakes.
  4. Choose Save to License. Open Credentials, then Licenses and check the saved record and attached document.

Good to know

  • Scanning sends the supplied content to the AI provider. Keep patient records out of credential uploads.
  • If analysis fails, read the error first: the document may already be saved. Find it in Documents and use File with AI when available, or add the record manually; avoid repeatedly uploading the same file.

You’re done when: The reviewed license record is linked to its document.

Match the completion date, hours, category and provider to the certificate. Add topics that reflect the actual course. Save, then check the entry in CME Credits.   1. Open Add on a phone or Documents on a desktop, then Upload the certificate.
  2. Check that the review card is a CME Credit. Compare the title, completion date, hours, credit category and provider with the certificate.
  3. Review the topic tags against the course content. Choose Save to CME Credit.
  4. Open Credentials, then CME Credits. Check the entry and certificate. To enter details yourself, use Add on this screen.

Good to know

  • A topic tag helps the tracker count an entry. It does not prove that a board accepts the course.
  • Review category and date carefully: they affect which totals and renewal cycle receive the hours.

You’re done when: The CME entry has the right hours, category, date and supporting certificate.

  1. Open Credentials, then CME Credits and choose Import transcript.
  2. Choose transcript file (PDF, CSV, XLSX), or select Paste text instead. Which formats, which columns? explains the available layouts.
  3. If asked, map the columns and choose Continue to review. Check every included row's title, date, hours and credit type.
  4. Leave duplicates unticked unless you have checked that they are separate activities. Fix missing fields and review topic tags.
  5. Choose Add to CME log when the selection is correct. Check the confirmation and the entries in CME Credits.

Good to know

  • The Add button includes the selected row count and hours. Nothing is added to the CME log until you choose it.
  • Imported transcript rows do not automatically supply individual certificates. Link those from Documents when needed.
  • A known layout describes the parser, not a verification that the credits qualify. Some other PDF layouts are sent to AI; review the import screen's explanation.

You’re done when: The intended activities appear once, with the right fields and total hours.

A credit may be outside this renewal or have the wrong category. Read the rule's source and review date. If the app asks whether a condition applies, keep Not sure until you can confirm. Use Rules changed? to report a specific discrepancy. The calculation organizes your records; it does not approve your renewal. Record organization only. The app does not approve a renewal.

  1. Open Credentials, then CME Credits and choose Compliance.
  2. Find the state you are reviewing. Read the dates used for its calculation and check them against the license you are renewing.
  3. Check total hours, category minimums and topic rows. Review entries outside the cycle or missing a category before adding more credit.
  4. Open the source link and read its review date. If an applicability question appears, answer for that license; keep Not sure until you can confirm.
  5. Use Rules changed? to report a specific discrepancy with a board link and explanation. Confirm unclear requirements with the board.

Good to know

  • The tracker uses your saved records and rules on file. A completed bar is not a board decision or a guarantee of compliance.
  • The Ohio pain-clinic question is an explicit conditional-rule pilot. Other exceptions may be described in notes without being fully calculated.
  • The app does not submit your license renewal.

You’re done when: You understand which records were counted and which requirements or conditions still need confirmation.

Agreement to reviewed rates Demonstration records only. No real messages, payments or AI requests occur. Open Practice, then Contracts. The Agreements screen holds the terms used for billing. Add the facility, recipient and dates, then the rate types your agreement actually uses. Check the billing increment, any stipend coverage and overage terms. These fields drive your invoices, so compare them with the agreement before using them. Select the reviewed agreement in Work. Illustrative agreement and rates; not market-rate advice.
  1. Open Practice, then Contracts. Choose Add to open Add Agreement.
  2. Enter Hospital / Facility, Agency (if any), Invoice recipient email and the agreement's dates.
  3. Enter the rates that apply: hourly work, a day rate, call stipend, hours included in a stipend, overage or orientation. Check the billing increment too.
  4. Compare every amount and date with your agreement before saving. If you used Smart Scan to extract a contract, review its fields before Save to Contract.
  5. Open Work and select this agreement before logging time.

Good to know

  • Only enter rate types that apply to your agreement. Missing or incorrect rates can produce an incorrect invoice.
  • The app records the terms you provide. It does not resolve contract disputes.

You’re done when: The correct agreement is available in Work with reviewed rates.

A billing note goes on the invoice, so leave patient information out. Save with Log it and compare logged time, billed time and amount. Rounding and stipend terms come from your agreement.   1. Open Practice, then Work and select the agreement for this work.
  2. Choose Log past time. Check the date, work type, start and end times and selected agreement.
  3. Add a short Billing note only if you want that text on the invoice. Keep patient details out of billing notes.
  4. Choose Log it. Check the saved entry's logged time, billed time and amount before invoicing.

Good to know

  • The agreement's increment and stipend terms can make billed time differ from elapsed time.
  • A Private note stays in separate browser storage and is not app-encrypted. It does not belong on the invoice and does not sync automatically.
  • Editing work that is already billed does not rewrite the sent invoice. Follow the app's warning and review the invoice separately.

You’re done when: The work entry belongs to the intended agreement and shows the expected billed amount.

Review every line in the preview before sharing. Send invoice offers formats; Copy prepares text for your own message.   1. Open Practice, then Work and select the agreement. Choose the Invoice button for unbilled entries or outstanding on-call days.
  2. In Which days go on this invoice?, select the days you intend to bill and check the displayed total.
  3. Open Invoice preview. Review the dates, descriptions, rates and TOTAL DUE against your records.
  4. Choose Send invoice… and the available format, or Copy to prepare the text for your own message. Complete the chosen sharing step and verify the recipient.
  5. Open Practice, then Invoices and check the invoice record. Follow up on delivery through the sharing method you used.

Good to know

  • Both sending and Copy mark the selected entries as billed in the app. Copy alone does not deliver an invoice to the agency.
  • If the preview is wrong, close it and correct the work or agreement before sharing.
  • An invoice marked billed or sent does not mean it has been paid.

You’re done when: A reviewed invoice is recorded, and you know how it was shared.

Partial then full payment Demonstration records only. No real messages, payments or AI requests occur. When money arrives, find the invoice and record the amount and date received. A partial payment leaves the remaining balance open. Record the next installment when it arrives. This is your payment ledger; payments are entered by you, not imported automatically from a bank. Writing off a balance is different from receiving money. Demo ledger entries. No money moves and no bank is connected.
  1. Open Practice, then Invoices and find the invoice that was paid.
  2. Choose Record payment. Enter Amount received and Date received from the payment you actually received.
  3. Optionally add a check or remittance reference. Check the amount against the open balance.
  4. Choose Record partial payment or Record — settles the invoice, as shown for the amount you entered.
  5. Open the invoice and check Payments received and Still owed. Record another payment when the next installment arrives.

Good to know

  • You record payments yourself; the app does not pull them from your bank or agency.
  • Write off remaining balance closes the balance without recording money received. Use it only when that is the action you intend.

You’re done when: The recorded payments and remaining balance match your records.

  1. Open More, then Settings. Check the email in your profile and the reminder settings.
  2. Set a lead time and frequency. Enable Email reminders if you want expiration digests for the records covered by the service.
  3. Enable browser notifications and grant permission if you want alerts on this device. The browser alert check runs while the app is open.
  4. Review Action Required on Home. If an expected email is missing, check spam and your settings, then use Get help.

Good to know

  • The email service checks dated credential records daily and sends when cadence or changed records call for it. Its current implementation does not email CME-hour shortfalls.
  • Automatic text reminders are not sending. A manual email or text action opens your mail or messaging app; you still need to send it.
  • A setting or browser permission is not confirmation that an email arrived.

You’re done when: You know which channels you enabled and where to check when a reminder is missing.

  1. Open Get help in the app. Describe the screen, what you tried, what you expected and the exact error if one appeared.
  2. Add a screenshot only if it helps. Remove patient details, passwords, keys and unrelated personal information first.
  3. After submitting, open Your tickets and select the ticket to see its status and replies.
  4. If it still has No replies yet, add useful details with Add to this ticket and Send reply. Check this thread even if an email has not arrived.
  5. When the problem is solved, choose Mark as resolved.

Good to know

  • Submission confirms that the ticket was filed, not that the problem has been fixed.
  • Support replies are shown in the ticket and can also be emailed. No guaranteed response time is advertised here.
  • Support may use AI assistance. Ask for a human review when the answer does not resolve your question.

You’re done when: You can find the original ticket, read its replies and continue the same conversation.

Private work notes stay in this browser, so export those when moving devices. These files contain readable data; the app does not encrypt them. Sign in on the new device for synced records and restore your notes file. Check the result before clearing the old browser or signing out. Demo files only. Readable backups must be kept private.
  1. Open More, then Data & Backup. Choose Export JSON Backup to save a copy of your loaded data.
  2. If you use private work notes, check the Private notes count on this device. Export to a file makes a separate copy of those notes.
  3. Store these files somewhere you control. They contain readable data and are not encrypted by the app.
  4. On a new device, sign in to load synced records. Export any current data before Restore from Backup: a JSON restore can replace the collections in the file and update settings. For a notes-only export, use Restore from a file in Private notes.
  5. Check the restored records and notes before clearing data on the old device.

Good to know

  • Private notes do not sync automatically and are not included in the server's monthly backup. A manual JSON export can include them.
  • Signing out or clearing browser storage can remove local notes. The app does not encrypt its private-note storage.
  • Keep both the original backup and an export of current data until you have checked the restored records and notes.

You’re done when: You have a saved export and know which notes need a manual transfer.

13SharingChoose and share a reference draftAsk Vera for a draft, choose the saved contacts to include, and review the text before sharing.

Saved peer references and access to Vera. Preparing a draft through Vera requires available AI access; contact details are assembled locally for the displayed draft.

  4. Check the recipient and the complete message before you send it.

Good to know

  • The reference draft is shown in Vera. Peer References has a separate Select and share flow.
  • Copying a draft or opening an email does not send it. Tutorial demonstrations use synthetic contacts and simulate sharing.
  • If a selected record is no longer available, prepare a fresh draft before sharing.

You’re done when: The intended contacts remain in the reviewed draft, with excluded contacts left out.

Review the linked document and check that it is the file you mean to send. Choose Email with attachments, enter the recipient, and read the message. In this demonstration, sending is simulated and no email leaves the computer. In the live app, check the recipient and selected documents before you send.   1. Open Credentials, then Licenses. Open the credential and choose its Send or share control.
  2. Review the credential details and the Linked Documents list. Confirm that the intended file has finished uploading.
  3. Choose Email with attachments to review the recipient, subject, message and selected files.
  4. Check the recipient and each selected document before choosing Send. A prepared message is not proof of delivery.

Good to know

  • Only include the documents you intend to disclose.
  • Tutorial demonstrations use a synthetic license and a reserved example.com recipient. They send nothing and do not verify live delivery.

You’re done when: The prepared message contains the intended recipient and selected credential documents.
